Brief Role Objective

Be part of a team providing general and administrative support to our Investments Managers to ensure that the client receives first class service. Responsible for ensuring that administrative, organisational and client related tasks are completed accurately, efficiently and in a timely manner. Will assist with responding to client enquiries where appropriate.

Key Responsibilities:

  • General administration to assist and support the team members with all client reporting and internal returns. Ensure Salesforce and client folders are maintained to a satisfactory standard
  • Proficient in the use of all internal and external systems and information feeds
  • Prepare Investment Policy Statements to satisfactory standard for compliance approval, ensuring KPI reports are in line with compliance numbers/requirements for year-end.
  • Assist with preparation and collation of account opening packs, ensure accurately completed.
  • Monitor progress of account opening and client inward and outward transfers
  • Respond to client emails and requests, reporting to Senior IA or Team Head.
  • Prepare and load BACS/CHAPS payments into our Figaro and Salesforce systems for check and release
  • Responsibility for static data amendments, checking completed correctly/ liaison with client onboarding teams
  • Completion and updating of FATCA / W8 / CRS forms, ensuring none outstanding at KPI year end.
  • Daily reporting of assets received/ overdrafts; responsibility to acknowledge to client re funds received
  • Ensure correspondence and reporting is clear and not misleading, technically accurate and tailored to client’s level of knowledge and understanding
  • Maintain and assist in preparing internal management information, ensuring that it is informative, accurate, consistent and up to date
  • Keep comprehensive client records and ensure that these are accurate and up to date at all times liaising effectively with colleagues in other departments, platforms & external custodians as necessary
  • Liaise with SIPP providers regarding client queries and data changes/ new requests
  • Assist team/ Team Head with client meeting preparation
  • Assist Team with preparation for presentations and external and internal conferences
  • Prepare and submit expenses returns for team members, to include management against diary and arrange travel for team members
  • Liaise with clients and advisers re room bookings, diary management and meetings and general assistance with meeting preparation.
  • Build and maintain good working relationships with clients and staff from across the business and become a key contact within the team.
  • Ensuring client and prospect data is kept up to date and accurate within all relevant systems and departments and providing regular information to clients to resolve queries and provide support.
  • Assist in preparing material for client meetings printing/binding board packs and portfolio valuations.
  • Ensure compliance and zero client complaints for duties within area of responsibility
