Business Unit

The Management team consists of the CEO, Head of Front Office plus a Front Office Business Manager, Front Office Support Manager and Head of Client Services plus a Senior Executive Assistant and Executive Assistant. This Administration Assistant vacancy will join the team to primarily support the Front Office Support Manager and Head of Client Services. This team is responsible for the overall strategic direction of the business and liaises closely with Group LGT. This team works across all functions within the business.

Brief Role Objective

This role will primarily assist and support the Head of Client Services and Front Office Support Manager on the standard ‘business as usual’ (BAU) work connected to all aspects of Client Servicing and Administration.

The role incorporates elements of Change Management (regulatory, strategic, and commercial initiatives) to assist the Front Office Business Management Team to deliver their objectives for Clients and IFAs. which includes the delivery of various projects.

A key task for the role involves being the primary contact for all Client and IFA Collateral materials and Operational Forms. Work includes collating and process any operational content updates required to existing forms, creation of new forms if applicable, providing tracking for monitoring and oversight purposes, responding to business requests for updates, liaison with external third-party firms and checking of all forms for accuracy.

The role holder will also provide general administrative assistance to the Front Office Business Management Team, ensuring that administrative and organisational tasks are completed accurately to allow Investment Managers/Wealth Managers and Investment Assistants to ensure Clients and IFAs receive a first-class service. You will be responsible for ensuring that client related, administrative and organisational tasks are completed accurately, efficiently and in a timely manner. You will be expected to develop a good understanding of the roles that the Business Management Team holds and build good working relationships with people from across the business, becoming a key contact for staff and managers firm wide.

Key Responsibilities:

  • Assist the Head of Client Service and Front Office Support Manager with all Client Collateral and Operational Form updates, ensuring all content is current and accurate.
  • Liaise with external third-party provider to ensure Collateral is accurately managed, tracked and updated accurately.
  • Responsible for creation of a master tracker and periodic reviews of all Collateral and Operational Forms
  • Liaise with wider business regarding content to be updated (Legal, Compliance, Marketing, Back Office and Middle Office teams, including Finance)
  • Ensure all forms are logged and shared on myLGT.
  • Ensure all forms are uploaded to Agiloft.
  • Ensure all communication to Business users is clear and concise so that correct version of documents is saved, stored and in use.
  • Responsible for active relationship management with third-party outsource provider.
  • Assist the Head of Client Service and Front Office Support Manager with BAU tasks across the Business Management Team including MI Dashboard support, control checks, general office administration assistance.
  • Assist with communications across the Firm and maintaining the internal communications solution.
  • Assist with distribution of Deloitte mailbox items and other incoming business enquires through the Information Mailbox
  • Provide administrative support to the Front Office Business Manager and Front Office Support Manager
  • Maintain the relevant MyLGT pages (internal intranet) relating to the Management Team
  • Support data download/manipulation for MI purposes

Your profile

Your Skills

  • A good working knowledge of Microsoft Office suite of products, specifically Excel
  • Working knowledge of various systems; Figaro (preferred but not essential), Salesforce (preferred by not essential), Adobe / Docu-sign (preferred)
  • Used to working to deadlines in a fast-paced environment with the ability to stay calm under pressure.
  • Proactive and effective problem solver with the ability to use own initiative and take ownership of tasks.
  • Able to prioritise in accordance with the needs of the business.
